By accessing or using RecruitHQ, you agree to be bound by these Terms of Service. If you do not agree, you may not use the platform.

RecruitHQ is a recruiting platform designed to assist student-athletes in:

• Managing college recruiting outreach
• Organizing college coach contacts
• Sending recruiting emails through user-connected Gmail accounts
• Tracking recruiting communication history
• Managing athlete profiles and recruiting goals

Users are responsible for:

• Maintaining confidentiality of login credentials
• Ensuring all account information is accurate
• All activity conducted under their account

We are not liable for unauthorized account access.

RecruitHQ allows users to connect their Gmail accounts via OAuth. Users authorize RecruitHQ to send emails on their behalf. We do not send emails without explicit user action. Users are solely responsible for:

• Email content
• Email recipients
• Compliance with applicable laws and regulations

RecruitHQ offers paid subscription plans including: Starter Plan, Pro Plan, and Elite Plan. Each plan includes defined feature limits such as email sending quotas. Payments are processed securely via Stripe. Subscriptions may renew automatically unless canceled. No guarantees are made regarding recruiting outcomes or athletic success.

Users agree not to:

• Spam or abuse college coaches
• Attempt to reverse engineer or exploit the platform
• Use the platform for illegal or unauthorized purposes
• Interfere with system security or performance

We reserve the right to suspend accounts violating these rules.

RecruitHQ does not guarantee college recruitment offers, scholarships, coach responses, or athletic placement. Success depends on user performance, communication, and external factors beyond our control.

RecruitHQ relies on third-party services including Google (authentication and Gmail API), Stripe (payments and billing), and infrastructure providers. We are not responsible for third-party service outages or errors.

We do not guarantee uninterrupted or error-free service. Features may be modified, suspended, or discontinued at any time.

We reserve the right to suspend or terminate accounts that violate these Terms, misuse the platform, or engage in fraudulent or abusive behavior.

To the maximum extent permitted by law, RecruitHQ is not liable for loss of data, lost opportunities, financial loss, recruiting outcomes, or indirect or incidental damages.

Users agree to indemnify and hold RecruitHQ harmless from any claims arising from their use of the platform, their content or emails, or their violation of these Terms.

We may update these Terms at any time. Continued use of the platform constitutes acceptance of changes.

RecruitHQ ("we," "our," "us," or "the platform") is a digital recruiting platform designed to help student-athletes streamline the college recruiting process by connecting them with college coaches, organizing recruiting outreach, and facilitating communication through user-authorized email integrations.

We are committed to protecting user privacy and complying with all applicable data protection laws, including Google API Services User Data Policy and Limited Use requirements. By using RecruitHQ, you agree to the terms outlined in this Privacy Policy.

2.1 Information You Provide Directly

• Full name and email address
• Date of birth (optional) and graduation year
• Academic information (GPA, school, etc.)
• Athletic information (position, club team, league)
• Recruiting preferences and goals
• Messages, templates, and email content created within the platform
• Colleges and coaches selected by the user

2.2 Google Account Data (If Connected)

When you connect Google services (such as Gmail), we may access:

• Email sending permissions (via Gmail API)
• Basic profile information (name, email address)
• OAuth authentication tokens

We do NOT access, read, or store emails in your inbox unless explicitly required for a user-initiated feature.

2.3 Payment Information

Payments are processed securely through Stripe. We do NOT store credit card numbers or payment credentials on our servers.

We use collected data strictly to provide RecruitHQ services, including:

• Helping athletes organize recruiting efforts
• Allowing users to identify and manage college coaches
• Sending recruiting emails initiated by the user
• Tracking recruiting communication history
• Providing CRM functionality for athlete-coach interactions
• Managing subscription access and billing

We do NOT use user data for advertising or unrelated purposes.

RecruitHQ's use of Google user data complies with Google API Services User Data Policy and Limited Use Requirements.

We DO:

• Use Gmail API only to send emails explicitly requested by the user
• Allow users to authenticate and connect their own Gmail account
• Enable user-facing recruiting communication features

We DO NOT:

• Sell Google user data
• Transfer Google user data to third parties except as required for core functionality
• Use Google user data for advertising purposes
• Use Google user data for AI training
• Access Gmail content without user action

All email actions are user-initiated.

AI Integration Disclosure

RecruitHQ offers an optional AI Recruiting Assistant feature that uses third-party AI models provided through the Base44 platform's InvokeLLM integration. RecruitHQ does NOT use an in-house or self-hosted AI model. The application uses the Base44 platform's default automatic model selection and does not specify or control which specific underlying AI model is used. RecruitHQ does not operate or train any AI models of its own.

Google User Data and AI

Google user data obtained through Gmail OAuth — including OAuth tokens, Gmail sending permissions, and any data accessed via Google APIs — is NEVER sent to, shared with, or processed by any AI provider. The AI Recruiting Assistant operates solely on data the user manually enters into the platform (such as athlete profile information, position, graduation year, GPA, and recruiting preferences). Gmail is used exclusively as a sending mechanism: the user composes emails and sends them through their connected Gmail account. No Gmail content, inbox data, email subjects, email bodies, or Google API data is ever used as input to any AI model.

No AI Training

Google user data obtained through Google API Services is NOT used to train, fine-tune, or improve any AI models, whether operated by RecruitHQ, the Base44 platform, or any underlying AI model provider. RecruitHQ handles all Google user data in full compliance with the Google API Services User Data Policy, including the Limited Use requirements.

We use commercially reasonable safeguards to protect user data, including secure authentication systems, encrypted data transmission, access control restrictions, and database security protections. However, no system is 100% secure.

We do NOT sell personal data. We only share information with service providers necessary to operate the platform (e.g., Stripe, Google), to comply with legal obligations, or to protect platform security and prevent fraud or abuse.

Users have full control over their data and may:

• Disconnect Google account access at any time
• Update or delete their account information
• Request full account deletion
• Stop using the platform at any time

We retain user data only as long as necessary to provide services, maintain account functionality, and comply with legal obligations. Users may request deletion of their data at any time.

RecruitHQ integrates with Google OAuth and Gmail API, Stripe for payments, and hosting and cloud infrastructure providers. We are not responsible for the privacy practices of third-party services.

RecruitHQ is intended for users engaged in athletic recruiting, typically student-athletes. We do not knowingly collect personal data from children under 13 without parental consent.

RecruitHQ is provided on an "AS IS" and "AS AVAILABLE" basis. We are not responsible for recruiting outcomes, email delivery failures, loss of data, service interruptions, or indirect damages. Users are solely responsible for their recruiting activity and communication.

We may update this Privacy Policy at any time. Continued use of RecruitHQ after changes means acceptance of the updated policy.
